Refund policy

This policy explains the difference between your statutory withdrawal rights and our additional voluntary 30-day return policy. It is separate from warranty and Sit-i Return.

1. Statutory consumer withdrawal rights

For a distance purchase, you as a consumer generally have a fourteen-day right of withdrawal. Within that period, you can withdraw from the agreement without stating a reason.

For physical products, the period starts on the day after receipt. For multiple products from one order that are delivered separately, the period starts on the day after receipt of the last product.

For services and digital content, the right of withdrawal starts on the day after concluding the agreement. The rules for direct digital delivery are stated in section 9 of our terms and conditions.

For business customers, no statutory right of withdrawal applies. Returns are only possible if we agree to this.

Withdrawal

Clearly let us know before the end of the right of withdrawal period that you are withdrawing from the agreement. This can be done:

via info@kinamics.nl;
using the model form in our terms and conditions;
via the online withdrawal function in our sales environment.

Providing your order number helps with processing. Providing a reason is voluntary. No prior approval is required for withdrawal.

Returns

Return the product to the return address provided by us no later than fourteen days after your withdrawal notice.

The direct return costs are yours, provided we have informed you about them before purchase. For products that cannot be returned by regular post, we state the costs or a reasonable estimate in advance.

If we offer a return label or pickup service, we will inform you about the costs in advance. Offsetting with the refund only takes place if you agree to this.

Careful assessment and packaging

You may unpack and try out the product to the extent necessary to determine its nature, characteristics and operation.

Do you use it beyond what is necessary for that? Then we may deduct a demonstrable reduction in value, to the extent permitted by law.

Return all included parts and accessories. Preferably use the original packaging, including the protective parts. Therefore, keep them during the right of withdrawal period.

No longer have the original packaging? Then ensure sturdy packaging that provides equivalent protection. The original packaging is not a condition for the statutory right of withdrawal.

Refund

We will refund no later than fourteen days after your withdrawal notice. For physical products, we may wait until we have received the product or you have proven that it has been returned, depending on whichever happens first.

In the event of withdrawal from the entire order, we also refund the standard outbound shipping costs. We do not refund additional costs for a more expensive delivery method.

We use the same payment method as for the purchase, unless you expressly agree to another free method.

In the event of a defect or an incorrectly delivered product, the statutory warranty rules apply. The necessary return costs will then be borne by us.

2. Exceptions and digital access

A statutory exception may apply to:

products that have been made according to your individual specifications or are clearly intended for you personally;
sealed products that are unsuitable for return for health or hygiene reasons after the seal is broken;
digital content and fully performed services, under the conditions of section 9 of our terms and conditions.

We state an applicable exception before purchase.

A choice from standard colours, materials or versions does not automatically make a product custom-made. A seat or chair is also not automatically excluded from return for hygiene reasons.

Activating sensor technology or accessing digital content does not automatically end the statutory withdrawal period for the chair. Standard choices of colour, material or configuration do not automatically make a product bespoke. The further arrangements for immediate digital delivery and services are set out in our terms and conditions.

3. Voluntary returns within 30 days

In addition to your statutory withdrawal rights, you may request a return under our voluntary policy within 30 days of receipt. This additional policy does not extend or restrict your statutory withdrawal rights.

For a return that falls solely under this voluntary policy, we assess whether the item is in the condition in which it was received, unused, with all labels and in its original packaging. Proof of purchase is required. Sensor components must not have been activated or used for this additional policy. Bespoke or personalised products are excluded from this voluntary policy.

Request a voluntary return in advance by emailing info@kinamics.nl with your order number and the item. Giving a reason helps us, but is not required for statutory withdrawal. We explain acceptance, return instructions and any costs.

The voluntary policy’s conditions are not conditions of statutory withdrawal. For statutory withdrawal, the rules above apply, including the right to assess the product and to use equally protective alternative packaging.

After receiving and assessing the item, we tell you whether the voluntary return has been accepted. If accepted, we refund your original payment method within 10 working days. Statutory withdrawal follows the statutory refund deadline and conditions above. Your bank or card provider may take additional processing time. If a voluntary return refund has not arrived within 15 working days of acceptance, contact us.

5. Damage, incorrect delivery or exchanges

If your product is defective, damaged or incorrectly supplied, email info@kinamics.nl, preferably with photographs or a short video. Your statutory warranty rights remain in place. We cover necessary return costs for a defect or incorrect delivery.
